The starting point

Countless documents arrive by post and have to be reviewed, sorted and filed correctly before anyone can even start working on them. On top of that, applications have to be checked laboriously for completeness and plausibility – missing fields, missing attachments, contradictory details. Both consume an enormous amount of time when done manually.

  • Accepts incoming mail through every channel – post (once scanned), email, beBPo

  • Classifies automatically by document type and responsibility

  • Extracts the relevant data and files each document correctly or forwards it to the responsible unit

  • Checks applications for completeness and plausibility – missing fields, missing attachments, contradictory details

  • Detects missing documents and supplies ready-made wording for requesting them – to review and send

  • Produces structured summaries for case handling

Procurement and operations in public administration

  • Procurement via EVB-IT: licence with services and maintenance, EVB-IT System or EVB-IT Cloud – every contract type is supported

  • Operation in the cloud, hybrid (platform in your own data centre, AI inference in the EU) or fully on-premise

  • Input channels: post after scanning, email, beBPo/De-Mail, citizen portal and OZG online services

  • Connection to DMS and case-management systems (e.g. enaio, d.3), master-data matching, hand-over with transfer note

  • Phased introduction: pilot in 4–6 weeks, roll-out in 2–3 months – accompanied by our team

  • Evidence included: DPA, TOMs, data-protection assessment and EU AI Act classification (minimal risk)

The result

Incoming mail is sorted, filed correctly and delivered – with no manual pre-sorting. Case handlers only ever receive complete, checked applications – including ready-made wording for any documents that need to be requested. Processing times fall measurably.
